Cancelled Practice Messages for Parents and Make-Up Sessions

Use a short, consistent process for cancelled or rescheduled practices, with ready-to-edit messages and a checklist for staff.

Confirm the change before you announce it

Before sending a cancellation notice, confirm the affected group, date, start time and location with the person authorized to change the schedule. Decide whether the practice is cancelled, moved to a different time, or moved to a different venue.

If the decision is still being checked, send a holding message only when families need immediate notice. Say that the academy is confirming the schedule and give a time or channel for the next update only if you can meet it. Do not guess at a replacement date.

Put the essential details first

Parents often read schedule messages quickly on a phone. Start with the group and date, then say exactly what has changed. Include the original time and location when that helps families identify the session. If a new time is confirmed, write the date and time in full rather than saying “tomorrow” or “next week.”

Keep the reason brief and factual. If the academy cannot share a detail, it can simply say that the session is cancelled.

“Schedule update for [group]: the practice planned for [day, date] at [time] at [location] is cancelled. The next confirmed practice is [day, date] at [time/location]. Please reply to [contact/channel] if you need help. [Academy name].”

If the next practice is not yet confirmed, remove that sentence and say where the current schedule can be checked. Make sure the channel you name is actively monitored by staff.

Template: practice moved to a new time or place

“Schedule update for [group]: [student name/group]’s practice on [day, date] has moved from [original time/place] to [new time/place]. The change applies to this session only. Please check in with [academy contact] if the new arrangement does not work for your family. [Academy name].”

State whether the change is for one session or ongoing. If the regular timetable has changed, update the school’s schedule as well as sending a message, so families and coaches have one current reference.

Template: short-notice cancellation

When families may already be travelling, lead with the action they need to take:

“Important schedule update: [group] practice at [location] today, [date], is cancelled. Please do not travel to the venue for this session. We are checking the next available date; we will share a confirmed update through [channel]. For urgent questions, contact [name/office] at [contact].”

Use “do not travel” only when the session is definitely cancelled. If only the venue is changing, give the new verified address and explain whether the start time remains the same.

Update the schedule and attendance record

After sending the message, update the schedule wherever staff and families normally check it. Notify the coach and office team, and confirm that the correct group received the notice. If the session is cancelled, make sure staff do not record students as absent for a class that did not take place. When a session is rescheduled, record the new date and time clearly.

Send this only after the academy has confirmed the replacement and approved its details. Cancelling a class alone does not create a make-up session or an entitlement to one.

“Update for [group]: the practice cancelled on [original day and date] will take place on [new day and date] at [time] at [location]. Please reply to [contact/channel] by [reply date] to confirm whether [student name] can attend. This session has been confirmed by [academy name].”

If the academy has not confirmed a replacement, do not send this template. Follow the school’s policy for attendance, fees or any adjustment, and keep the cancelled session distinct from a student absence.

Close the loop with families

If parents ask whether a session will be made up, answer only from the academy’s confirmed policy. If no decision exists yet, say who is reviewing it and when families can expect a decision, provided that timeline is realistic. Do not label a future session as a make-up class unless the school has actually scheduled it.

Once the timetable is stable, a final short note can point to the updated schedule.
